These Terms and Conditions govern your use of Gregandsons Hire Plant Ltd's equipment rental services. By booking our services, you agree to be bound by these terms. Please read them carefully.
1. Definitions
- "Company," "We," "Us," "Our": Refers to Gregandsons Hire Plant Ltd
- "Customer," "You," "Your": Refers to the individual or entity booking our services
- "Equipment": Refers to all machinery, tools, and attachments provided by us
- "Operator": Refers to our certified professional who operates the equipment
- "All-Inclusive Service": Refers to our complete package including equipment, operator, insurance, fuel, transport, and maintenance
- "Site": Refers to the project location where services are performed
2. Service Description
Our all-inclusive equipment rental service includes:
- Professional-grade construction equipment (mini diggers, dumpers, and attachments)
- Certified, experienced operator for the duration of the hire
- Comprehensive insurance coverage (public liability and equipment insurance)
- Fuel and maintenance for the equipment
- Transport of equipment to and from your site
- Equipment setup and removal
All services are provided at the all-inclusive rate quoted. No hidden fees or surprise charges will be added.
3. Booking and Quotes
3.1 Quote Requests
When you submit a quote request through our website or by phone, we will provide you with a detailed all-inclusive quote based on your project requirements. Quotes are valid for 30 days from the date of issue.
3.2 Booking Confirmation
A booking is confirmed when:
- You accept our quote in writing (email or signed document)
- Required deposit is paid (if applicable)
- We send written confirmation of the booking details
3.3 All-Inclusive Pricing Guarantee
The price quoted is the price you pay. We guarantee no hidden fees will be added unless additional services outside the original scope are requested and approved by you in writing.
4. Payment Terms
4.1 Payment Schedule
- Homeowners: Payment due upon completion of work or as agreed in the quote
- Trade Accounts: Net 30 payment terms available for approved contractors and developers
- Emergency Services: Payment may be required upfront or upon completion
4.2 Accepted Payment Methods
We accept:
- Bank transfer (BACS)
- Credit and debit cards
- Cash (for amounts under £1,000)
- Business checks (trade accounts only)
4.3 Late Payment
Overdue payments may incur interest at 8% per annum above the Bank of England base rate, as permitted by the Late Payment of Commercial Debts (Interest) Act 1998.
5. Cancellation and Rescheduling
5.1 Customer Cancellation
- More than 48 hours before booking: Full refund of any deposit paid
- 24-48 hours before booking: 50% cancellation fee applies
- Less than 24 hours before booking: 100% cancellation fee applies
- Same-day cancellation: Full charge applies
5.2 Company Cancellation
We reserve the right to cancel bookings due to equipment breakdown, operator unavailability, or unsafe site conditions. In such cases, we will offer alternative equipment or a full refund with no penalties.
5.3 Rescheduling
Requests to reschedule made more than 24 hours in advance will be accommodated free of charge, subject to availability.
6. Site Requirements and Customer Responsibilities
6.1 Site Preparation
The Customer must ensure:
- Safe and suitable access for equipment delivery and operation
- All underground utilities (gas, water, electric, telecommunications) are clearly marked
- Appropriate permits and permissions are obtained for the work
- The site is clear of obstacles that may prevent safe operation
- A responsible adult is present on-site during the work
6.2 Health and Safety
The Customer must provide a safe working environment and inform us of any known hazards. Our operators will conduct risk assessments and may refuse to work if conditions are deemed unsafe.
6.3 Site Information
You must provide accurate information about site conditions, access restrictions, and project requirements. Failure to disclose relevant information may result in additional charges or service delays.
7. Equipment Operation
7.1 Operator Control
All equipment must be operated exclusively by our certified operators. Customers are not permitted to operate the equipment under any circumstances. Our operators retain sole discretion over equipment operation and safety decisions.
7.2 Working Hours
Standard working hours are 8:00 AM to 6:00 PM, Monday to Friday. Weekend and out-of-hours work may be available at premium rates. Our operators are entitled to regular breaks in accordance with UK working time regulations.
7.3 Supervision and Direction
While you may provide general direction for the work, our operators will make all technical decisions regarding equipment operation, safety, and work methods. Our operators may refuse instructions that compromise safety or equipment integrity.
8. Insurance and Liability
8.1 Our Insurance Coverage
We maintain comprehensive insurance including:
- Public liability insurance (£5 million coverage)
- Employer's liability insurance
- Equipment and property insurance
- Professional indemnity insurance
8.2 Limitations of Liability
While we take every precaution, we cannot be held liable for:
- Damage to underground utilities not properly marked by the Customer
- Pre-existing site conditions not disclosed to us
- Delays caused by adverse weather, site access issues, or conditions beyond our control
- Consequential losses, including loss of profits or business interruption
Our total liability under these terms is limited to the total fees paid by the Customer for the specific booking in question.
8.3 Customer's Insurance
We recommend that customers maintain their own insurance for their property and projects. For large commercial projects, we may require evidence of your insurance coverage.
9. Weather and Force Majeure
We reserve the right to postpone or cancel work due to adverse weather conditions, natural disasters, strikes, government restrictions, or other events beyond our reasonable control. In such cases, we will reschedule at the earliest opportunity or provide a full refund if rescheduling is not possible.
10. Complaints and Disputes

10.2 Dispute Resolution
In the event of a dispute, both parties agree to first attempt resolution through good-faith negotiation. If negotiation fails, disputes shall be resolved through mediation or arbitration before pursuing legal action.
11. Intellectual Property
All content on our website, including text, graphics, logos, and images, is the property of Gregandsons Hire Plant Ltd and protected by UK copyright law. You may not reproduce, distribute, or use our content without written permission.
12. Data Protection
We process your personal data in accordance with UK GDPR and our Privacy Policy. By using our services, you consent to our data processing practices as described in our Privacy Policy.
13. Changes to Terms
We reserve the right to modify these Terms and Conditions at any time. Changes will be posted on our website with an updated "Last Updated" date. Bookings made before changes take effect will be governed by the terms in place at the time of booking.
14. Governing Law
These Terms and Conditions are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
15. Severability
If any provision of these Terms is found to be unenforceable or invalid, that provision will be limited or eliminated to the minimum extent necessary, and the remaining provisions will remain in full force and effect.
